Reporting use cases
Inventory Management answers most cost and stock questions from three places: the dashboard, the usage summary and the billables page. Here is where to look for the questions fleet operators ask most.
1. Cost of each boat
Section titled “1. Cost of each boat”You want to charge an owner for the stock, labor and other costs that went on their boat, for example at the end of the season.
- On the dashboard, make sure nothing is still Awaiting a task. Stock that isn’t on a task can’t be charged to a boat.
- Open the Billables page at Task management > Billables. Set the Boat filter to the owner’s boat (or boats) and turn on Has outstanding billables, so you only see tasks with costs not yet on a bill.
- Tick the billables to charge and click Create bill. Name it after the owner.
- Open the bill and use Export as PDF to send it or attach it to your invoice.
To check the stock side before you bill, open the usage summary, group by Boat and filter to the period. Click the boat to see all the stock it used and what each item cost.
2. Which boats use the most stock
Section titled “2. Which boats use the most stock”On the dashboard, pick the period (for example this year) and look at Cost by boat. Click a boat to open the usage summary for that boat, grouped by Part. Useful for spotting a boat that keeps going through the same item, or for planning which boats need a refit.
3. Who is taking stock out
Section titled “3. Who is taking stock out”Open the usage summary and group by Person. Combine it with the Status filter set to Pending to see who has consumed stock that still isn’t on a task, and how long they’ve been waiting. The Awaiting a task card on the dashboard shows the same list, oldest first.
4. Stock lost or damaged
Section titled “4. Stock lost or damaged”On the dashboard, Damaged or lost shows units written off in the period, compared with the period before. No reason given shows stock taken out without a reason. Click See them to add reasons so your numbers stay honest.
5. How much cash is sitting on the shelf
Section titled “5. How much cash is sitting on the shelf”Stock value on the dashboard shows what everything on the shelf is worth right now, and the Stock value chart shows whether it’s building up or being run down over the season. Untouched lists items that haven’t moved in 90 days or more, and what they’re worth. Good candidates to stop reordering, move to another base or sell.
6. What to order before the season
Section titled “6. What to order before the season”Open the shopping list, choose Enough for 8 or 12 weeks and turn on By warehouse. You get what to buy per base with an estimated cost, ready to copy to your supplier.
7. Whether supplier prices are going up
Section titled “7. Whether supplier prices are going up”Open an item’s page. If you bought it at two or more prices, the Price paid chart shows the unit price of each batch by when it came in. Click the FID to see every batch of that item together.
8. Labor hours by technician and boat
Section titled “8. Labor hours by technician and boat”Labor isn’t part of inventory, but it goes on the same bills. The Reports > Logged hours report shows hours logged by technician and boat for any date range.
